Privacy Policy — How WARMHAUS Handles Your Data

This page explains exactly what we collect when you contact us, why we collect it, how long we keep it, and how to have it deleted. Written in plain English, in line with the EU General Data Protection Regulation (GDPR).

1. Who is responsible for your data

This website is operated by WARMHAUS — Italy Warmhaus Industry Co. Ltd (“WARMHAUS”, “we”, “us”), a manufacturer of PPR, PEX and brass piping and underfloor-heating systems based in Bologna, Emilia-Romagna, Italy.

For any question about this policy or about your personal data, contact us at sales18-ifan@ifangroup.com. We answer data requests from the same address that handles commercial inquiries.

Our full company registration details (VAT / P.IVA number, REA number and registered office address) are being added to this page. If you need them before then — for a supplier onboarding file, a tender, or a due-diligence check — email us and we will send them to you directly.

2. What we collect, and when

We only collect personal data in two situations.

a) When you submit the inquiry form. The form asks for your company name, contact name, work email, country, target market, the systems and volume you are interested in, and optionally your phone or WhatsApp number and a free-text message. We also record the date of submission, the page you submitted from, and the IP address the submission came from — the last one purely to identify and block automated spam.

b) When your browser requests a page. Like any web server, our host records standard technical log data: IP address, timestamp, the URL requested, referring page, and browser user-agent. This is generated automatically by the hosting infrastructure and is used for security and troubleshooting.

We do not run advertising networks, remarketing pixels, behavioural profiling, or any analytics product on this site. We do not buy or sell contact lists, and we do not enrich your submission with data from third-party databases.

3. Why we process it (legal basis)

  • To answer your inquiry and quote you — GDPR Article 6(1)(b), steps taken at your request before entering a contract.
  • To keep a record of the inquiry so a lead is not lost if an email fails to deliver — GDPR Article 6(1)(f), our legitimate interest in running a sales process.
  • To protect the site from spam and abuse — GDPR Article 6(1)(f), our legitimate interest in keeping the service available.
  • To store and process what you sent us — GDPR Article 6(1)(a), the consent you give by ticking the box on the form. You can withdraw that consent at any time (see section 6).

We do not use your details to send marketing newsletters unless you have separately and explicitly asked us to.

4. How long we keep it

  • Inquiries that do not lead to a business relationship: deleted within 24 months of the last contact.
  • Inquiries that become customer or distributor relationships: retained for the duration of the relationship and afterwards for as long as Italian commercial and tax law requires us to keep the records.
  • Server log data: retained on a short rolling window by our hosting provider and then overwritten.

If you ask us to delete your data sooner, we will, unless a legal retention obligation prevents it — in which case we will tell you which one.

5. Who else sees your data

We keep the circle deliberately small. Your data may be handled by:

  • Our hosting provider, which stores the website and its database on our behalf as a data processor.
  • Our email provider, which delivers the notification containing your inquiry to our sales team.
  • Our own export sales staff, who read the inquiry in order to reply to it.

We do not pass your data to advertisers, data brokers or any other third party.

International transfers. Our export sales team operates partly outside the European Economic Area. This means that when you submit an inquiry, the contents may be read and replied to from outside the EEA. Where that is the case, the transfer is necessary to take the steps you requested before entering into a contract, under GDPR Article 49(1)(b).

6. Your rights

Under the GDPR you can ask us, free of charge, to:

  • Access — get a copy of the personal data we hold about you.
  • Rectify — correct anything that is wrong or incomplete.
  • Erase — delete your data (“right to be forgotten”).
  • Restrict — freeze processing while a dispute is resolved.
  • Port — receive your data in a structured, machine-readable format.
  • Object — object to processing based on legitimate interest.
  • Withdraw consent — at any time, without affecting processing already carried out.

Email sales18-ifan@ifangroup.com with your request. We will respond within one month, as the GDPR requires. You do not need to give a reason for a deletion request.

If you are not satisfied with how we handled your request, you have the right to lodge a complaint with a supervisory authority — in Italy, the Garante per la protezione dei dati personali (garanteprivacy.it), or the data protection authority of the EU country where you live or work.

7. Cookies and third-party requests

This site sets no advertising, analytics or tracking cookies. The only cookies that can be set are strictly functional ones created by the WordPress software if a site administrator logs in to the back office — they are never set for ordinary visitors.

There are also no third-party requests. Every asset this site loads — fonts, icons, images, stylesheets and scripts — is served from our own domain. Your browser never contacts Google, Cloudflare or any other network on our behalf, so no third party receives your IP address, and nothing about your visit is disclosed to anyone outside WARMHAUS.

This is a deliberate choice. Loading fonts or icons from a public CDN is convenient, but it hands every visitor’s IP address to that provider — so we host those files ourselves instead.

8. Security

The site is served over HTTPS, so traffic between your browser and the server is encrypted in transit. Inquiry records are stored in the website database, and access to the administration area is restricted to authorised staff. No system is perfectly secure, but we do not store payment details, passwords or any special-category data on this site.

9. Children

This is a business-to-business site for distributors, contractors and OEM partners. It is not directed at children, and we do not knowingly collect data from anyone under 16.

10. Changes to this policy

If we change how we handle personal data, we will update this page and change the “last updated” date at the top. Material changes affecting people who have already contacted us will be communicated by email where we hold a valid address.
